To ensure optimal performance and security, Rustici Software maintains specific data retention limits for SCORM Cloud accounts. The lifespan of your Customer Data—which includes user credentials, xAPI statements, learner registration data, and course files—is determined by your account's subscription status and activity level.

Below is a detailed guide on how long we store your data and what happens when an account is left inactive or canceled.

Data Retention by Subscription Status

We strictly limit the storage duration of Customer Data based on the type of account you hold. Data exceeding these timeframes is subject to deletion.

Account (Realm) StatusMaximum Data Retention
Paid and Formerly Paid Accounts3 Years
Trial Accounts1 Year

Inactive Accounts

To maintain system efficiency, we routinely clear out abandoned Trial accounts. Rustici Software reserves the right to modify or permanently delete Inactive User Accounts and their associated data after providing 30 days' prior notice to the account owner.

Your account is classified as "Inactive" if it meets all of the following conditions for a continuous period of 18 months:

  • There has been no successful manual login to the SCORM Cloud user interface.
  • There has been no learner or automated administrative activity (such as course launches, registration updates, or xAPI statement receipts).
  • The account is on a Trial plan with no active paid subscription.

Account Cancellation and Termination

If you choose to terminate your SCORM Cloud account, or if your agreement expires, please be aware of the following data handling procedures:

  • Your Responsibility: Upon termination or expiration, you should immediately cease using the service and export/remove your data using the existing functionality within the SCORM Cloud interface.
  • Deletion Timeline: Rustici will disable access to your service and may destroy all your Customer Data within 30 days after the expiration or termination of your account.

Data Backups

Even after data has been deleted from the active SCORM Cloud environment (due to retention limits, inactivity, or account termination), Rustici may retain encrypted backup copies of your Customer Data for a limited period of time in accordance with our standard disaster recovery and data retention practices.
